Business continuity and vital records

Record recovery, prioritising vital records, is an integral part of the authority's business continuity planning.

Introduction

Authorities have to develop clear policies and guidance for the processes involved in recovering from natural or man-made disasters, and they have to be able to prioritise the most important records

Compliance

The Civil Contingencies Service heads emergency planning for the following councils:

  • East Renfrewshire
  • Renfrewshire
  • Inverclyde
  • West Dunbartonshire

As part of the business continuity planning process each key service is required to complete a business impact analysis. The services must identify any vital records they hold, how they are stored and if there are back-ups. This covers paper and electronic records.

Our IT team is responsible for maintaining the back-up and retrieval of electronic records held on our IT systems.

Improvement actions and review

The Council's Business Continuity policy is currently undergoing review, with a view to being reflective of best practice and learning from both incident response and exercising. Following approval, this will be reviewed every three years. The document outlines the way in which East Renfrewshire Council will conduct its business continuity management. This will include the roles and responsibilities across the organisation in ensuring we have effective and up to date arrangements, which are regularly tested and validated

Vital records within the archives and records store will be defined as part of a records store disaster plan.
